CEDIA 2016 Registration Policies

Registration Policies

  • Use one registration form per person. Copies are acceptable.
  • Payment must accompany registration form. Do not mail without payment.
  • Faxed registrations are accepted only if paying by credit card.
  • If you fax your registration form, do not send the original through the mail.
  • Only those individuals who register and present badges may attend CEDIA 2016 events.
  • Badges will NOT be mailed. You must pick up your badge onsite during registration hours.
  • Registration is not open to the public.
  • Attendees are not permitted to bring cameras or videotaping equipment onto the show floor.

Age Requirement

You must be 18 years or older to register and attend. CEDIA reserves that right to refuse admittance to anyone under the age of 18. Proof of age is required on show site.

Register online at cediashow.net — It’s easier, faster, and gives you more options! When you register, you will immediately receive:

  1. E-mail confirmation that your registration has been received
  2. Real-time lock-in of your classes and special event choices
  3. The ability to make changes to your registration
  4. A special registration confirmation number that will allow you to use the “fast track” badge pick up at any of our special offsite satellite registration stations or at Kay Bailey Hutchison Convention Center.

Satellite Registration Stations

Satellite registration stations* are available 24 hours a day beginning Monday, September 12 at 6:00 p.m. until Saturday, September 17 at 5:00 p.m.

Satellite Registration Locations: Omni Dallas Hotel, Sheraton Dallas, Hyatt Regency Dallas at Reunion, Fairmont Hotel Dallas, The Adolphus

*All exhibitor badges (includes booth staff and set-up badges) must be picked up in Exhibitor Registration located at the convention center in Upper Lobby D beginning on Monday, September 12 at 8:00 a.m. A self-serve badge pick up kiosk will be available in Exhibitor Registration for your convenience, and for after-hours badge pick up. Please be aware exhibitor badges can no longer be printed at self-serve kiosks located at select hotels or the airport.

CEDIA Cancellation Policy

  • Partial and full cancellations must be submitted in writing to registrar@cedia.org or requested via CEDIA registration system.
  • Cancellation penalties are based on the date the written or online requests for cancellation are received.
  • Refunds will be processed within two weeks of cancellation request date.
  • Cancellation policy applies to all CEDIA activities, including CEDIA training sessions.

Prior to July 30: Refund of total registration fee
July 31 – August 27: Refund of total registration fee, less $25 processing fee
28 – September 4: Refund less 50 percent of total registration fee
After September 4: No Refund

If you do not cancel by September 4, 2016 and do not attend CEDIA, you are still responsible for payment. You may substitute the name of one registrant for another any time.

CEDIA Guest Pass Refund

CEDIA will provide a full refund of tradeshow only registration fees if guest pass is received within 2 days of initial registration payment. Refund requests must be submitted in writing to registrar@cedia.org or requested via the CEDIA Registration system online at cediashow.net.

CEDIA Training & Certification Policy

You must register for each class you plan to attend. All sessions are on a first-come, first-served basis. If you are not on the class roster, you are not permitted in the classroom. Changes are permitted online or onsite to other sessions that are still available. Attendees may transfer to other eligible classes free of charge if utilizing the CEDIA Training Pass.

If you are more than 15 minutes late to a class, your seat is not guaranteed. After 15 minutes, you are considered a no-show and your seat may be given to a wait-listed individual. No refunds will be given for no-shows.

Course schedules are subject to change. If a course is cancelled, your fee for that course will be refunded at the time of the cancellation. If a change in the course schedule results in your inability to participate in a selected class, your fee for that course will be refunded. No refunds will be issued due to conflicts with manufacturer product training or non- CEDIA sponsored events. Refund requests must be submitted in writing to registrar@cedia.org or requested via the CEDIA Registration system online at cediashow.net by September 4, 2016.

Certification exam fees are not refundable for no-shows. Requests for exam fee refunds must be made in writing to registrar@cedia.org prior to September 4, 2016. No refunds will be given after this date.

CEDIA 2016 Press Credentials Policy

Photograph/Video Release

CEDIA has official photographers/videographers for CEDIA 2016. Photographs/video taken at CEDIA 2016 may be used in future marketing, publicity, promotions, advertising and training activities for CEDIA. By registering for CEDIA 2016, you agree to allow CEDIA to use the photographs/video—which may include you—in all media formats worldwide. 

Lost Badges

There is a $25 charge for all lost badges or badge reprints. New badges are issued at the CEDIA registration counters onsite.

Tradeshow Floor Policy

You must be 18 years or older to enter the tradeshow floor. Identification is required. No strollers permitted on the show floor. Attendees are not permitted to bring cameras or videotaping equipment onto the show floor.

Luggage Check

Luggage storage is available in the Kay Bailey Hutchison Convention Center from Thursday, September 15, to Saturday, September 17, ONLY.

Special Accommodations

Local vendors are available to assist attendees with special accommodations relating to hearing, eyesight, and mobility. Please contact vendors directly to secure services.

Foreign Language Support and Translations Services

CEDIA recommends using Accento, The Language Company. Please contact this vendor directly to secure services at 971.242.4500 or accento.com.

Hotel Reservations

For your convenience, CEDIA has blocked rooms at over 20 hotels in Dallas. Reservations must be made via CEDIA Housing easy-to-use online system at cediashow.net. Beginning September 9th, you will need to contact the hotel directly to make changes (cancellations fees from the hotel may apply).

CEDIA members will receive priority if they make reservations before June 21, 2016 when all attendees will be able to make reservations via the online system.
